Prepare for data collection

Once an occurrence has been mapped and a location is operational, it is ready to accept collected trait data. The experiment manager allows breeders to generate trait and location files needed by the KSU field book app to perform data collection as well as upload the collected traits into the Data Terminal tool.

Let’s get you started with the downloading of files needed for data collection!

Download field book files

Though there are other data collection tools available, we encourage you to use the Field Book app by PhenoApps (only available for Android devices) to ensure consistent and accurate data collection. Field Book requires 2 files from the EBS: the trait and occurrence/location files.

1. From the Experiment Manager data browser, click beside the planted occurrence > Trait data collection.

2. Wait to be redirected to the Download Data Collection Files page. Here you can see all the selected traits for that occurrence.

If you wish to add a new Trait or Trait Protocol, simply click on the drop-down menu on the left, select which trait or protocol to add, and click Add.

3. Under the Selected Traits section, tick the trait file that you want to download then click on the upper-right. After downloading, click to download the location file for the occurrence.

You have the option of downloading trait files with trait abbreviations or not in the CSV headers. Click and select With trait abbreviations or For FieldBook App.

4. Once the download is finished, you can click at the top of the browser or click the experiment code to go back to the Experiment Manager.

Great job! You now have the 2 files needed for data collection using the Field Book application. Once you’re done collecting data you can now upload it to the EBS.

Download from multiple occurrences

You can also download trait data collection files from multiple occurrences. Before doing this step, make sure you have already set the traits for the selected occurrences.

1. From the Experiment Manager data browser, tick the of one or more planted occurrences.

2. On the Experiment Manager toolbar, click > Trait data collection > Occurrence/Location. You have the option to download the files With trait abbreviations or For FieldBook App in your CSV headers.

If you select Occurrence, the collection of data will be for one occurrence. If you select Location, the collection of data will be for all occurrences in the location that was previously chosen in Experiment Manager.

3. The downloading of files will be generated in the background. Once done, click Notifications () and select the latest notification containing the downloaded files. It will be saved as a compressed (.zip) containing all the downloaded trait data collection files.

Upload collected data

After conducting fieldwork and collecting data using the Field Book app, your collected trait data should be exported as a CSV file.

1. On the upper right of the experiment manager table, click Upload > Trait data collection.

2. Wait to be redirected to the Data Collection Upload page. On the lower right part of the screen, click Browse and select the CSV file containing your collected trait data on your local device.

3. Once the file loads onto the upload tool, click Upload.

4. Wait for the tool to finish checking your file for formatting errors such as unrecognized headers or duplicate values. If you have encountered an error while uploading, click Remove to delete the file and re-upload.

5. Once approved, you will be directed to the Data Collection browser page, and a pop-up message should appear on your screen notifying you that the upload was successful.

Upload data from other file types

The collected data from other software applications such as KSU Inventory, Easy Harvest, and Moisture Meter 1 can also be uploaded to the Data Collection tool. Data collection files from these apps will be uploaded in a different upload window.

1. On the upper right of the experiment manager table, click Upload > Trait data collection.

2. Wait to be redirected to the Data Collection Upload page. On the lower right corner click More File Upload Options.

3. The page will display other supported file upload options. Click the upload button () depending on the application used for data collection.

4. From the File Upload modal window, click Browse and select the CSV file containing your collected trait data on your local device.

5. Once the file loads onto the upload tool, click Upload.

6. Wait for the tool to finish checking your file for formatting errors such as unrecognized headers or duplicate values. If you have encountered an error while uploading, click Remove to delete the file and re-upload.

7. Once approved, you will be directed to the Data Collection browser page, and a pop-up message should appear on your screen notifying you that the upload was successful.

Great job! You’ve successfully uploaded your collected data. Continue with your breeding process by using the Data Collection - Quality Control to validate and commit crop data. You can also explore other tools in Experiment Manager like generating codes and updating protocols.
