One of the four tabs in the Germplasm tool is the Create tab. Unlike the Search tab, the Create tab is viewable and accessible only to EBS administrators. This tab allows administrators to generate and upload new germplasm, seed, and package records. Administrators can also upload germplasm relation files.

From the Germplasm tool, click Create. The tab will display the germplasm upload browser, where you will see all germplasm record upload transactions in the system.

 Germplasm creation browser tools

A. File Status lets you know the progress of a germplasm upload indicated by a status.

  • VALIDATION IN PROGRESS means that validation of the uploaded records is taking place in the background;

  • VALIDATED means that the germplasm records passed all applicable data validation rules;

  • CREATION IN PROGRESS means that validated germplasm records are being created in the background;

  • COMPLETED means that germplasm records have been successfully created;

  • VALIDATION FAILED means that one or more errors have been detected in the uploaded records; and

  • IN QUEUE means that a data validation job is in the queue.

B. Template lets you download the prescribed CSV format for germplasm-related files.

C. Upload lets you add new germplasm records in the system.

D. Notification icon informs you about developments in the background processes.

E. Reset grid icon reverts you to the default germplasm upload browser display.

F. Personalized grid settings icon allows you to hide or unhide columns in the germplasm upload browser.

G. Export icon generates a copy of the germplasm upload browser in various file formats.

H. View summary icon allows you to see specific details of the uploaded germplasm records.

I. Download file icon lets you download and save individual germplasm records on your device.

J. Delete file upload transaction icon allows you to remove an uploaded germplasm record.

K. View error logs icon lets you know what went wrong in the data validation process.

L. Complete file upload transaction icon lets you begin the germplasm record creation process.

 Let’s get started in creating germplasm records and relations!

Create a germplasm record

Download germplasm record template

  1. In the Create tab, download the prescribed format by clicking Template then Germplasm.

  1. Fill out the CSV template with the germplasm information you want to upload to the system. The CSV template contains variables to be populated with valid information.

  1. Save the edited CSV file on your computer.

Upload a germplasm record

  1. In the Create tab, click Upload, then choose Germplasm.

  1. In the Germplasm File Upload modal window, Browse for the germplasm file you created.

  1. Select the file or drag and drop it in the modal window, then click Validate.

  1. A data validation job will run in the background. The File Status column in the browser will show a status of VALIDATION IN PROGRESS.

  2. Once the data validation finishes successfully, the File Status column will display the VALIDATED status message.

The status message VALIDATION FAILED is displayed when errors are detected in the CSV file. You can view the specific errors of the germplasm records in the View error logs button ( (blue star) ) so you can update your file as needed.

  1. In the germplasm browser, click the Complete file upload transaction button ( (tick) ) to start the creation process.

  1. A preview of the records to be created will be shown in the browser. Click Complete.

  1. In the Confirm Creation modal window, a summary of the germplasm records or relations to be created will be shown. Click Proceed to confirm the creation.

The speed of the record creation process depends on how many germplasm records or relations will be uploaded.

  1. In the Create tab, download the prescribed format by clicking Template then Germplasm relation.

  1. Fill out the CSV template with the germplasm relation information you want to upload to the system. The CSV template contains variables to be populated with valid information.

  2. Save the edited CSV file on your computer.

Upload a germplasm relation

  1. In the Create tab, click Upload, then choose Germplasm relation.

  1. In the Germplasm Relation File Upload modal window, browse for the germplasm relation file you created.

  1. Select the file or drag and drop it in the modal window, then click Validate.

  1. A data validation job will run in the background. The File Status column in the browser will show a status of VALIDATION IN PROGRESS.

  2. Once the data validation finishes successfully, the File Status column will display the VALIDATED status message.

Delete an uploaded germplasm transaction

  1. In the Create tab, locate the germplasm upload transaction for deletion in the germplasm browser. Click the Delete file upload transaction button ((blue star)) beside the germplasm to be deleted.

The trash icon will only appear beside germplasm records or relations that have not yet been used as entries in experiments and that have no existing seed, package, or relation records.

  1. In the Delete File Upload Transaction modal window, click Confirm to delete the germplasm upload transaction in the system.

Selected germplasm upload transactions will be permanently deleted in EBS.


Well done! Germplasm records and relations are now stored in the system and ready for use in experiments.
