The EBS administrators can add germplasm names through the Coding tab in the Germplasm tool. It allows them to select germplasm records to be updated, generate name patterns, and finalize the coding transaction.
The Coding tab displays all the coding transactions under the current program. However, the first step is selecting the germplasm records from the Management tab in the Harvest Manager or the Search tab in the Germplasm tool.
Select germplasm records
There are two ways of selecting germplasm for coding. One is from the harvested germplasm records, which can be seen in the Harvest Manager under the Management tab. Another is from the Search tab in the Germplasm tool.
Select from Harvest Manager
Tick the checkboxes beside one or more harvested germplasm records.
Click the Access Breeding Tools button from the toolbar > Code Germplasm.
Select from Germplasm Search
Tick the checkboxes beside one or more germplasm. This step can be skipped if administrators will code germplasm names for all the displayed results.
Click the Germplasm Tools button from the toolbar > Code Germplasm > Code Selected orCode All depending on the previous selection.
Create a coding germplasm transaction
After selecting the germplasm records, the Coding Germplasm browser will display the (a) Coding Option section with the coding options and name types; and the (b) Pattern Definition section with the patterns to be generated based on the options.
Code germplasm name using free text
With the free text option, EBS administrators can define the sequence numbers and add prefixes and suffixes to their germplasm name patterns. This option can be used for creating new elite lines or line names. The new germplasm names can also be set to active or standard status.
Under the Coding Option dropdown menu, select Free Text.
Select the germplasm name type under the Name Type dropdown menu.
Select the germplasm name status under the Name Status dropdown menu. This will determine how the germplasm names will be displayed after coding.
Under the Pattern Definition section for free text, define the number of leading zeroes and the starting sequence number in the text area.
Add prefixes or suffixes to your generated name. Refer to the drop-down below for the specific steps

Once done, click Apply.
The Coding tab in the Germplasm tool will display a new transaction with the coded germplasm names. The next step is to finalize the transaction.
Complete coding transaction
Click the Complete Coding Transaction button.
Review the coding transaction according to the information earlier. Once done, click Complete.
A modal window will reconfirm the changes to be done to the germplasm records. Click Confirm to finalize the transaction.
The transaction will be processed in the background. Click the Notifications button to check the status of the transaction.
The Coding Status column will display the

View germplasm coding errors
If errors were encountered during the transaction, administrators can view them in the Coding tab before revising.
From the Coding tab, click the View Error Logs icon beside the transaction.
A new page will open with the error message, timestamp, and other relevant information related to the coding transaction.
Once done reviewing the information, click Back to return to the main browser.
